New task features, Tagged PDF, and an enhanced REST API simplify collaboration, accessible publishing, and automated processes in the new XR release “Napoli” 

With XR Napoli, gds is augmenting the XML content management system with an integrated task function with connection to Microsoft Teams and e-mail, the output of tagged PDFs, and new automation functions for production groups and system connections.

Tasks directly in the content – with notification in Teams and via e-mail

The new task function is a key highlight of this version. Editors create tasks directly in the context of a module – with title, description, due date, and person responsible. The person responsible is notified automatically via Microsoft Teams or e-mail and a link takes them straight to the relevant place in XR. Each user defines in their user profile which channel they prefer. As such, notes such as “Please check module” or “Update graphic” no longer get lost in e-mails or chats, but remain where they belong: in the content.

Overviews for own and self-created tasks ensure transparency. On request, the administrator can also enable a system-wide view of all tasks. This option is deliberately implemented as a central setting so that businesses can use it in accordance with their internal data privacy and codetermination rules.

Tagged PDF: foundation for barrier-free documents

The barrier freedom of PDF publications is also a focus of the current version. XR now generates tagged PDFs: headings are labeled with their structural level, bookmarks created, and alternative texts for graphics and abbreviation saved in the PDF. Alternative texts can also be maintained centrally for the standard layout symbols. In this way, XR creates the technical foundation for documents, which can be evaluated using screen readers and test tools such as PAC – a topic that is becoming increasingly important for many manufacturers.

Automating production and connecting systems

For businesses with a large number of publications, Napoli adds a standard function for production groups: documentation can be republished automatically in fixed cycles, for example to coincide with the software releases. Static production groups now show at a glance whether more recent document versions are available, and can be updated at the push of a button. The selection of the production languages has also been simplified. This saves valuable time and reduces the risk of publishing outdated versions by mistake.

At the same time, the REST-API has been consistently fine-tuned. Media, modules, and document structures can now be queried, created, and edited via the interface; group productions and tasks can be controlled from external systems. As such, workflows between XR and related systems such as ERP, PIM, or PLM can be substantially further automated.

Other improvements

In addition, XR Napoli includes numerous detailed improvements that make everyday content management noticeably easier:

  • Optimized performance in preview, comparison view, and editor
  • Panel elements in instructions, for instance for figures arranged next to each other
  • VereinfachteSimplified updating of media to the latest version in the document
